American Stories Travel Booking Terms & Conditions

The purchase of any travel booking constitutes a legally binding agreement between the traveler(s), customer(s), and/or purchaser(s) (collectively, “Customer”) and American Stories Travel, Inc. (“American Stories Travel” or “AST”), pursuant to the following Terms & Conditions (“Terms”).

  1. Customer Information

To complete a booking, Customer must provide the following information:

  • Credit card or approved payment method information (American Stories Travel will provide a secure payment link upon request);
  • Full legal name of the primary guest and each guest included in the booking.
  1. Authority to Bind Other Travelers

The individual completing the booking represents, warrants and covenants that such individual has full legal authority to accept these Terms on behalf of the Customer, including all travelers included in the booking, and agrees to be solely responsible for informing each Customer of these Terms. All Customers shall be jointly and severally bound by these Terms.

  1. Right to Refuse Bookings

American Stories Travel reserves the right, in its sole discretion, to deny or decline any booking.

  1. Payment/Currencies

All prices are quoted and payable in United States Dollars (USD), unless expressly stated otherwise in writing. 100% of the program fee is due at the time of booking unless otherwise specified in writing by American Stories Travel.

Customer acknowledges that certain services may be contracted by third-party suppliers in foreign currencies and agrees that AST bears no responsibility for fluctuations in foreign exchange rates, currency conversion costs, or banking fees imposed by financial institutions or payment processors (“Foreign Currency Costs”). Foreign Currency Costs are inherent risks of travel and are the sole responsibility of the Customer. AST does not guarantee any exchange rate and shall not be liable for differences between quoted prices and amounts charged by any third party for Foreign Currency Costs.

  1. Rates and Availability

Rates and availability are subject to change until all services are confirmed. No booking is considered confirmed until full payment is received and the booking is processed by American Stories Travel.

Bookings requiring services that cannot be immediately confirmed may not be accepted fewer than three (3) business days prior to the first travel component. Late booking fees may apply for bookings confirmed within seven (7) days of travel.

Rates may be impacted by supplier repricing, governmental taxes or fees, or foreign exchange rate fluctuations. Any increase in costs arising from such factors will be passed through to the Customer prior to confirmation. Once confirmed, rates are locked except for increases caused by government-imposed charges, supplier surcharges, or extraordinary currency-related events beyond AST’s control.

  1. Cancellation Policy (Individual Bookings)

Except as otherwise stated in these Terms, upon cancellation for any reason, AST will retain 100% of the cost of any non-refundable services, including but not limited to, special events, theater tickets, sporting events tickets, concert tickets, attraction tickets, hotel rooms and applicable no-show penalties. In addition:

  • For cancellations made forty-six (46) days or more prior to arrival, AST Will retain 50% of the booking cost.
  • For cancellations made forty-five (45) to thirty-one (31) days prior to arrival, AST will retain 75% of the booking cost.
  • For cancellations made thirty (30) days or fewer prior to arrival, AST will retain 100% of the booking cost.
  1. Reschedule Policy

Requests to reschedule a booking are subject to availability. A rescheduling service fee may apply, in addition to any increase in prices by third-parties and any non-refundable services already booked.

  1. Group Terms & Conditions

Payment Terms

  • 25% non-refundable deposit due at booking.
  • 25% due 150 days prior to first booked day.
  • 50% due 90 days prior to first booked day.

Change in Group Size

Adjustment reductions up to and including 10% are allowed without refund. Adjustments larger than 10% require a new quote.

Cancellation Policy

  • For cancellations made one hundred and fifty (150) days or more, AST will retain 25% of the booking cost.
  • For cancellations made one hundred and forty-nine (149) to ninety (90) days prior to first date of booking, AST will retain 50% of the booking cost.
  • For cancellations made eight-nine (89) days or less prior to first date of booking, AST will retain 100% of the booking cost.

Credit Toward Future Travel

Credits may be granted at AST’s sole discretion and must be used within 12 months.

Accepted Payment Methods

ACH, wire transfer, check, or money order.

Additional Terms

Supplier policies may apply and will be disclosed upon confirmation.

To the extent there is any conflict between the Group Terms & Conditions stated in this Section 8 and the rest of these Terms, the terms stated in these Group Terms & Conditions shall control with respect to all group bookings.

  1. Travel Protection

The purchase of travel insurance is strongly recommended. Coverage depends on the specific policy purchased. American Stories Travel is not an insurance provider or agent, has no responsibility for the submission, processing, or outcome of insurance claims, and does not provide advice on insurance policies. All claims must be submitted directly to Customer’s insurer.

  1. Restaurant Reservation Policy
    All restaurant reservations are subject to availability. Many restaurants do not accept reservations until thirty (30) days or fewer prior to the reservation date. Requested times are not guaranteed. If an alternative time is available, it will be booked and Customer will be notified.

Many restaurants require a credit card to secure reservations. American Stories Travel may use its corporate card to hold such reservations. Customer is fully responsible for all no-show fees, late arrival penalties, and cancellation charges imposed by the restaurant (“Restaurant Charges”). ALL RESTAURANT CHARGES ARE THE SOLE RESPONSIBILITY OF THE CUSTOMER AND WILL BE CHARGED TO THE CARD ON FILE. TO THE EXTENT AST IS UNABLE TO CHARGE CUSTOMER’S CARD ON FILE FOR RESTAURANT CHARGES, CUSTOMER AGREES TO REIMBURSE AST WITHIN THIRTY (30) DAYS OF AST’S INVOICE.

  1. Weather

Tours and services operate rain or shine. If conditions are deemed unsafe by a supplier, AST will attempt to reschedule. If rescheduling is not possible, Customer will receive any refund actually issued to AST by the supplier.

  1. Overtime, Additional Services, and Late Arrival

Any overtime, additional services, or costs incurred due to Customer actions or delays are the responsibility of the Customer and will be billed after the event. Customer is responsible for notifying AST of changes in arrival or departure schedules. Failure to do so may result in additional charges, which Customer agrees to reimburse promptly. AST is not responsible for losses caused by any third-parties, including but not limited to, carrier delays or cancellations.

  1. Responsibility/Liability

American Stories Travel acts solely as an agent for third-party suppliers. AST does not own or operate any airline, hotel, transportation provider, venue, guide service, or other supplier. All such suppliers are independent contractors, and AST is not responsible for their acts or omissions.

To the fullest extent permitted by law, American Stories Travel shall not be liable for any injury, loss, death, damage, delay, inconvenience, or expense arising from acts beyond its reasonable control, including but not limited to as set forth in Section 20.

IN ALL CASES, AST’S TOTAL LIABILITY SHALL NOT EXCEED THE TOTAL AMOUNT PAID FOR THE PORTION OF THE BOOKING THAT GAVE RISE TO THE CLAIM. AST SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, OR PUNITIVE DAMAGES, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

  1. Health and Special Requirements

Customer is solely responsible for compliance with health regulations, vaccination requirements, testing mandates, and associated costs.

  1. Assumption of Risk

Customer acknowledges that travel involves inherent risks. By participating in services arranged by AST, Customer voluntarily assumes all risks of illness, injury, property damage, and/or death and waives any related claims against AST.

  1. Refunds and Currency Conversion

Any approved refund will be processed in USD and calculated based on the amount actually received by AST, net of supplier costs, exchange losses, and banking fees. AST is not responsible for differences caused by exchange-rate fluctuations between payment and refund dates.

  1. Special Events

The following events are all non-refundable:

  • Thanksgiving 2026
  • Rockefeller Center Tree Lighting 2026
  • New Year’s Eve 2026

If any of these special events is canceled due to a supplier or third-party organizer, AST will refund to Customer all refundable amounts paid or, at its discretion and with Customer’s consent, transfer the amounts paid for the same special event in 2027. AST strongly recommends that Customer obtain travel insurance for each special event booked.

  1. Extraordinary Currency Events

In the event of extreme currency volatility, devaluation, government exchange controls, or supplier repricing due to currency instability, AST reserves the right to revise pricing or offer comparable alternative services. If no alternative is available, Customer’s sole remedy shall be limited to recoverable refunds actually received from suppliers.

  1. Customer Conduct and Compliance

Customer agrees to comply with all laws, regulations, and supplier rules. AST reserves the right, at its sole discretion, to terminate services without refund for disruptive, abusive, unsafe, or unlawful behavior.

  1. Force Majeure

AST shall not be liable for failure or delay caused by events beyond its reasonable control including, but not limited to, acts of third-parties, acts of God, illness, epidemic, pandemics, war, civil unrest, labor disputes, terrorism, mechanical failures, supplier defaults, natural disasters, government actions, transportation disruptions, or supplier insolvency (each, a “Force Majeure Event”). Customer’s sole remedy in the event of a Force Majeure Event shall be limited to supplier refunds AST actually receives.

  1. Chargebacks and Payment Disputes

Customer agrees not to initiate chargebacks for charges properly due. This Agreement and proof of services shall constitute Customer’s authorization for charges. Customer shall reimburse AST for costs incurred in contesting improper disputes, including, but not limited to, administrative and legal fees.

  1. Time Limitation on Claims

Any claim arising under or in connection with these Terms must be filed within one (1) year after the scheduled completion of travel. Any claim filed after this one (1) year period shall be barred.

  1. Governing Law/Alternative Dispute Resolution: These Terms and any disputes arising out of or in connection with these Terms or the services provided by AST shall be governed by the laws of the State of New York, United States, without regard to its conflict of law provisions or the conflict of law provisions of any other jurisdiction. In the event of any claim, except for one seeking emergency injunctive relief, the parties agree to submit such claim to binding arbitration in New York, New York, United States before one arbitrator of the American Arbitration Association pursuant to its rules set forth on its website, https://www.adr.org. Customer consents to the exclusive jurisdiction of a court of competent jurisdiction located in the County of New York, State of New York with respect to all claims for injunctive relief and confirmation or appeal of any arbitration award. Customer waives, with respect to any dispute arising out of or in connection with these Terms (i) any right to participate in a class action, private attorney general action, collective action, or other representative action in court or arbitration, either as a class representative or class member, and (ii) the right to join or consolidate claims with claims of any other party.
  1. Language

These Terms are drafted in English, which shall control in all respects. Any translation is for convenience only and has no legal effect.

  1. Severability. If any one or more of the provisions of these Terms are for any reason held to be invalid, illegal or unenforceable by a court or tribunal of competent jurisdiction, the remaining provisions of these Terms will be unimpaired and will remain in full force and effect, and the invalid, illegal or unenforceable provision will be replaced by a valid, legal and enforceable provision that comes closest to the intent of the underlying invalid, illegal or unenforceable provision.
  2. Entire Agreement

These Terms, together with written booking confirmations, constitute the entire agreement between the parties and supersede all prior communications or representations.

The purchase of your travel booking constitutes an agreement between the traveler(s), customer(s), and/or purchaser(s) (collectively, “you” or “customer“) and American Stories Travel (“we“, “us“) pursuant to the following terms and conditions (“Terms“): 

1. Customer Information: To book please provide the following information: 

a. Credit card information (American Stories Travel will provide payment link) 

b. Name of Primary Guest (if booking includes hotel, please provide name of each guest) 

2. Payment: 100% of the program fee is due at the time of booking.

3. American Stories reserves the right to deny bookings that do not meet certain requirements such as length of stay, inclusivity of travel components, or minimum price.  

4. Rates and Availability: Please note that rates and availability are subject to change until confirmations are received. No bookings are confirmed until payment is received and booking is processed. 

Bookings requiring any services or components that cannot be immediately confirmed cannot be accepted less than 3 business days before the first travel component. Late booking fees may apply for bookings confirmed within 7 days of travel.

5. Cancellation Policy  

  • Cancellations made 46 days or more prior to arrival: 50% of booking cost will be retained by American Stories*  
  • Cancellations made 45 – 31 days prior to arrival: 75% of booking cost will be retained by American Stories*  
  • Cancellations made 30 days or fewer prior to arrival: 100% of booking cost will be retained by American Stories

*–Plus 100% cost of any non-refundable services such as, but not limited to, special events, theater tickets, sporting event tickets, concert tickets, attraction tickets, non-refundable hotel rooms or no-show fees.

6. Reschedule Policy

If you would like to reschedule a booking, a re-scheduling service fee may apply, plus the cost of any non-refundable services.

7. Travel Protection: The purchase of travel insurance is highly recommended and coverage depends on the specific policy you purchase. Should you elect to obtain coverage, the travel insurance policy you purchase to cover these travel arrangements will dictate any coverage for financial loss.  We are not an insurance company, and we have no responsibility for the submission, payment, or adjustment of any insurance claims. You must submit any claims directly to your insurance company named under your policy.  

8. Restaurant Reservation Policy:

a. Availability – All restaurant bookings are subject to availability. Many of the best restaurants do not allow reservations to be made until 30 days or less prior to the date of service. We will do our best to accommodate the requested reservation time, but we cannot and do not guarantee it.  If another time is available, we will book it and advise of the change.

b. Credit Card to Hold Reservation –  Many of the best restaurants require a credit card at the time of booking to hold the table. To simplify matters, American Stories Travel uses its corporate card to book these reservations. You are responsible for all fees, including without limitation any fees charged for no-shows, late arrival or cancellation of your reservation, charged by any restaurant we book for you.  ALL RESTAURANT RESERVATION PENALTIES/FEES ARE THE RESPONSIBILITY OF THE GUEST AND WILL BE CHARGED TO THE CARD ON FILE.

9. Weather: Tours/services operate rain or shine.  If the conditions are extreme or deemed unsafe by the supplier, we will endeavor to reschedule your program.  If we are unable to reschedule your program, we will refund to you all amounts that the supplier refunds to us.

10. Overtime, Additional Services and Late Arrival. Any overtime or additional services incurred by customer while traveling is the responsibility of the customer.  Customer will be billed by American Stories Travel for overtime or additional services after the event. It is the responsibility of the customer to notify us if there is a change in the arrival or departure time of a carrier, including without limitation flight or a rail itinerary, or if there is a change in such transportation. Customer hereby agrees that if failure to notify us in a timely manner results in additional charges for transportation, guides, attractions and/or entertainment, then customer will reimburse us promptly upon receipt of an invoice. Customer further agrees that American Stories Travel is not responsible for delays or cancellations by a carrier that results in the loss of services, such as, but not limited to, theater and concert performances, tours, attraction admissions, dining arrangements, accommodations, or any other service booked on behalf of the customer by American Stories Travel.

11. Responsibility. Our job is to provide you with the best experience possible, but we cannot and do not guarantee the quality of services provided by third parties. American Stories Travel and its employees, shareholders, officers, directors, successors, agents, and assigns do not own or operate any entity that provides goods and services for your travel, including without limitation lodging facilities, airline, vessel, motor coach, or other transportation companies, guides or guide services, local ground operators, providers, or organizers of optional excursions, food service providers, etc. All such persons and entities are independent contractors and are in no way affiliated with American Stories Travel. 

12. Liability. You understand and agree that American Stories Travel is merely an agent booking services for your benefit. Accordingly, you agree that, to the fullest extent permitted by law, American Stories Travel is not and will not be liable for any acts, including without limitation any negligent or willful acts or failure to act, of any travel service provider or of any third party, and American Stories Travel is not and will not be responsible for any injury, loss, death, inconvenience, delay, or damage to person or property in connection with the provision of any goods or services, whether resulting from, but not limited to, acts of God or force majeure, illness, disease or epidemic, acts of war or civil unrest, insurrection or revolt, animals, strikes or other labor activities, criminal or terrorist activities of any kind or the threat thereof, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation, or any failure of any transportation mechanism to arrive or depart on time.  If due to weather, flight schedules, or other uncontrollable factors you are required to spend additional night(s), you will be responsible for your own hotel, transfers, and meal costs. Baggage is entirely at customer’s risk. IN ALL OTHER CIRCUMSTANCES, INCLUDING WITHOUT LIMITATION WHERE THE EXCLUSIONS SET FORTH ABOVE CANNOT APPLY, AMERICAN STORIES TRAVEL’S LIABILITY IS LIMITED TO THE VALUE OF THE PURCHASED TRAVEL ARRANGEMENTS. IN ADDITION, YOU SPECIFICALLY AGREE THAT AMERICAN STORIES TRAVEL IS NOT AND WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL OR PUNITIVE DAMAGES EVEN AMERICAN STORIES TRAVEL HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. 

13. Assumption of Risk. By engaging American Stories Travel for the provision of services and/or goods, you understand and agree that there may be inherent risks of illness, physical injury or property damage. It is your sole responsibility to ask questions of the third party suppliers of such services or suppliers of goods. By participating in any services procured by American Stories Travel or accepting any goods procured by American Stories Travel, you understand and agree that, notwithstanding any other provision of these Terms, you assume all risks of loss, property damage or personal injury, including illness or death, that you may sustain and waive all claims that may arise as a result of participation in the services or receipt of the goods that you request American Stories Travel to procure on your behalf or on behalf of your guests and others in your party.

14. Health and Special Requirements. It is your responsibility to ensure that you are aware of and comply with any health requirements, health advisories, or health travel restrictions applicable to your travel destinations and to ensure that you carry all necessary vaccination documentation. American Stories Travel is not responsible for providing you with this information. Travel carriers and local authorities at travel destinations may require specific testing prior to boarding and/or upon arrival at your destination, including, but not limited to, a temperature check. You may be denied entry onto your carrier and/or entry upon arrival at your destination, or be required to self-quarantine at your destination and upon your return to the United States. You must comply with local government regulations. Additional costs are your responsibility. Check with the Center for Disease Control and Prevention for current information prior to and during your travel. www.cdc.gov

15. Thanksgiving Terms & Conditions 2026

The following additional Terms & Conditions apply to USA Thanksgiving 2026 and are in addition to the Terms set forth above. In the event of any conflict between the Terms above and the Thanksgiving Terms & Conditions below, the Thanksgiving Terms & Conditions below shall prevail.

2026 Thanksgiving Day Parade Viewing Brunch at Del Frisco’s Steakhouse Only:

The event is non-refundable and full payment is due at time of reservation. If the Thanksgiving Day Parade is canceled due to reasons out of our control, or altered in a way that precludes American Stories Travel and/or Del Frisco’s Steakhouse NYC from operating the event, the purchase will be refundable or transferable for 2027. American Stories Travel has sole discretion of refunds or transfer of tickets. 

All other booked services will be liable to American Stories Travel general Terms and Condition (see above).

Rockefeller Center Tree Lighting Party Terms & Conditions 2026

This event is non-refundable and full payment is due at time of reservation. We suggest you consult your Travel Advisor for the purchase of travel insurance which may or may not protect your investment. American Stories Travel does not currently offer travel insurance.

New Year’s Eve Terms & Conditions 2026

New Year’s Eve Party at the M Social Hotel & Bowtie Bar (formerly R Lounge):

The event is non-refundable and full payment is due at time of reservation. We suggest you consult your Travel Advisor for the purchase of travel insurance which may or may not protect your investment. American Stories Travel does not currently offer travel insurance.

Terms & Conditions for Groups

1. Payment Terms

  • A 25% deposit of the total group cost is required at the time of booking to confirm all services. This deposit is non-refundable.
  • A second payment of 25% is due 150 days prior to arrival.
  • The remaining 50% balance is due 90 days prior to arrival.
  • Theater tickets may require a separate payment depending on show selection and availability. Details will be confirmed at the time of booking. Payment for theater tickets are non-refundable.

2. Change in Group Size Policy

  • If the number of participants decreases by up to 10% of the total previously confirmed group size, no refund will be issued for the reduced number.
  • If the number of participants increases or decreases by more than 10%, the group will be re-quoted based on the new size. This may result in an increase in the final per-person rate, depending on supplier pricing and availability.

3. Cancellation Policy

  • Once the group booking is confirmed, the 25% deposit is non-refundable under all circumstances.
  • If additional payments have been made, cancellation fees will apply according to the following schedule:
Timeframe Prior to Arrival Cancellation Fee
150 days or more 25% of total group cost plus all non-refundable services
149 to 90 days 50% of total group cost plus all non-refundable services
89 days or less 100% of total group cost
  • Non-refundable services include, but are not limited to, special events, theater tickets, sporting event tickets, concert tickets, attraction tickets, hotel rooms and no-show fees.
  • All cancellations must be submitted in writing.

4. Credit Toward Future Travel

In the case of cancellation, and at the company’s sole discretion, a partial credit may be applied toward a future trip. This credit will be calculated as the amount paid, minus the 25% cancellation fee, and must be used within 12 months of the original travel date.

Credits are subject to availability and may not be applicable to all services or suppliers. Non-refundable items such as theater tickets are excluded.

5. Accepted Forms of Payment

  • ACH Bank Transfer:
    A secure online payment link will be provided upon request.
  • Bank Wire Transfer:
    Full banking details will be provided upon request.
  • Check or Money Order:
    Payment made to American Stories Travel Inc

6. Additional Terms

  • All services are subject to availability until payments are received.
  • Hotel and vendor contracts may include additional terms and conditions. Any specific payment or cancellation policies from third-party providers will be disclosed at the time of confirmation.
